Invited/Special Session Presenters Guide
Before you leave! 

  • First you must ensure that you accepted your invitation that was emailed to you on or after 9 May 2026.
    • To do so follow the link in the original email message, please log in to the website and view your invitation in the Message Center. Please review the detailed information and carefully accept or decline the invitation. Your prompt response will help ensure the success of your session. If you need this email resent to you, please contact conference@biometricsociety.org.
  • Each Invited Session/Special Session Presenter should contact their organizer to determine the length of your presentation during the 90-minute session. Please stick to this maximum time cap to respect your fellow presenters and ensure the conference program remains on schedule.  
  • All presentations must be uploaded to the Dropbox link prior to your arrival in Seoul! This is to ensure all presentations are on site for the conference and to allow staff enough time to organize presentations and reduce technical issues during the conference. 

o    Please save your presentation title in the following format:[Session ID#_Lastname_Firstname] (i.e., IS.22.02_Smith_John)

o    Your Session ID# can be found in your Session Invitation Email

o    All presentations must be saved in PDF or PowerPoint format. If you would like to use an IBC-branded template, please follow this link.

o    Using the following link: https://www.dropbox.com/request/ucv3nc557gjedv3ubkzyupload your presentation no later than Monday, 06 July 2026.

o    Conflict of Interest:

§  Please ensure conflict of interest disclosure is clearly presented in your presentation either stating:

·         I have no current or past relationships with commercial entities.

§  Or outlining all relevant relationships per example below:

·         I have the following relationships with commercial interests:

·         Advisory Board – [name]

·         Speakers Bureau – [name]

·         Funding (Grants/Honoraria) – [name]

·         Research/Clinical Trial – [name]

·         Speaker/Consulting fees – [name]

·         Current/past employment – [name]

·         Investment – [name]

 

·        ·         Download the Official Conference Mobile App Set to Launch Thursday, 2 July 2026.

o    IBC2026 will be paper conscious, and all conference materials will be available digitally through the mobile app. We will not be using printed programs or guides. 

o    Instructions on how to download and join the mobile app will be emailed to you directly.

Our intent is to record some sessions in the general session room, and to share recorded content with Society members, registrants and/or other paying customers as appropriate. Following the conference, some members or others who were unable to attend the meeting may also opt to purchase a package of these sessions. Rather than profiting from these session recordings, the primary goal of this effort is to expand the reach of the meeting and your session, in particular. If you have any questions or concerns about this plan, please reach out to us directly at conference@biometricsociety.org and we will be happy to discuss the matter and possible solutions with you.

Once you have arrived in Seoul:

Welcome to the Republic of Korea! 

  • Depending on your date and time of arrival we recommend checking into your lodging establishment, refresh a bit and head over to the convention center to check in.

·        Check into the conference at the Coex Magok Le West, 143 Magokjungang-ro, Gangseo-gu, Seoul, South Korea

·        Head to the 4th Floor

·        Here you will receive your name badge. This will be your ticket into all events and sessions and must be worn for entry to all conference activities.

·        You will also be provided with some other key information about the conference during check-in, so it is important that this is your first stop once you get to the convention center.

  • Check out information on the mobile app. Be sure your profile is updated so you can interact with your fellow attendees and kick start your networking and check out all the sessions you would like to attend if you haven’t done so already. 
  •  If you have changes that need to be made to your presentation or questions stop by the speaker ready room (Organizer’s Office 2, 4th Floor) after you check in to the conference.
  •  Lastly, have FUN! We are so excited you are here, and we have a fantastic conference planned for you to enjoy!

Day of Your Presentation: 

  • If you have any adjustments or questions about your presentation, please stop by the speaker ready room (Organizer’s Office 2, 4th Floor) well in advance to your presentation time slot.
  •  Please arrive at your session room 15 minutes prior to the start of your session.
  •  If you have any questions about your session reach out to your session chair via the mobile app direct message feature or stop by the speaker ready room (Organizer’s Office 2, 4th Floor).
  •  Please be respectful of your fellow speakers and keep your presentation within the time limit.
  • Speak loudly enough for the room to hear, try not to rush or talk too quickly (If this is your first time presenting, we recommend practicing at home or with a friend prior to arriving and using a timer to make sure you have enough time to present without rushing)
